People & Office Coordinator

Decoded is looking for a friendly, enthusiastic and motivated People & Office Coordinator to join our London team. You will be responsible for managing our serviced office environment, supporting across our full employee lifecycle including recruitment, supporting all our employee engagement activities and helping our People & Culture to thrive.


As People & Office Coordinator at Decoded, you’re ultimately accountable for:

  • Managing our end-to-end office environment (currently a private office within a co-working space)

  • Supporting the People Team to create an excellent place to work for the Decoded team

  • Supporting our full employee lifecycle, particularly recruitment

  • Executing our annual calendar of employee engagement and team events

  • Supporting the People operations of the global team

  • Upholding our team values and behaviours


Office management & remote working

  • Creating an excellent and productive place to work for the Decoded team

  • Managing the relationship with our co-working space and suppliers

  • Ordering and managing food, drinks, and office equipment

  • Ensuring employees have all the equipment required for home working and office hot desking

  • Communicating updates regarding the office and home working to the team

  • Always looking for improvements in our ways of working

People operations

  • Supporting the People and Office Manager and Managing Director in the operational elements of People and HR

  • Maintaining and updating employee records on our HR platform

  • Consistently implementing our people processes across the whole employee lifecycle, from onboarding to offboarding

  • Supporting the People and Office Manager with delivering improvements based on our employee engagement surveys

  • Supporting the People and Office Manager with the delivery of key People processes and projects

  • Presenting and communicating relevant updates to the wider team

  • Scheduling and coordinating training sessions to support our L&D activities


  • Coordinating recruitment activities by posting job ads and scheduling interviews

  • Liaising with candidates through the recruitment process ensuring a positive experience

  • Building strong and trusted relationships with hiring managers

  • Reporting and updating hiring teams on candidate progress

  • Managing our Applicant Tracking System (ATS) and ensure it’s used for all steps in the recruitment process

  • Supporting the People and Office Manager with Decoded’s LinkedIn career page and employee brand


  • Working with the Managing Director and future Head of People to drive the culture of Decoded

  • Organising all team events including annual learning events, company meetings, Christmas Party, socials, lunch and learns, and team birthdays celebrations etc.

  • You have a minimum of 1 year’s experience in a relevant role

  • You have a passion for working with people and delivering an excellent service

Report into People and Office Manager.


You will be in control and responsible for your time. You plan your working day around the best outcomes for success, identifying and prioritising projects against business need.
